Reservation Policies

Short Term Rental Agreement
This Short-Term Rental Agreement (the ‘Agreement’) is made by and between Georgia Vacation Rentals, LLC (Agent for Homeowner) and guest(s) as signed on attached Addendum or as listed and accepted on listing site. For good and valuable consideration, the sufficiency of which is acknowledged, the parties hereby agree as follows:

Term: The lease term is outlined and agreed to on the following Addendum. Please – no early check in or late check out. The cleaners have a narrow window to come in and do their job. If you overstay your check out time and the cleaners must wait for your departure, then you will be charged for a half day stay. Should you choose to not vacate on the date specified on the listing site, then the daily rate will be doubled, and court proceedings will begin immediately to remove you from the property. All expenses incurred during this process will be paid by guest(s).

RENTAL AGREEMENT: Before confirming your reservation, we will need to obtain the signed lease agreement as well as a copy of your driver’s license and any required documentation for pets and/or parking requirements. Once your file is complete and payment in full is made, we will email you specific travel directions and the lock code to access the home. Note: If you reserve through a listing site, you are agreeing to the lease terms when you make the payment.

Guest Responsibility: Our goal is to provide you with a clean, well equipped home with all components and equipment functioning properly. Just as your personal home, anything can happen at any time, without a warning. We ask that before you begin to unpack and settle in, please take a quick look around and notify us immediately with any issues that you see may need attention. GVR is available 7 days a week to address any situation. Being proactive allows us to address any issues and make your stay as pleasurable as possible. No refunds will be issued unless, we are notified during your stay, cannot resolve the problem, cannot relocate you to another property and/or the issue makes the home uninhabitable.

All guests will receive emailed instructions for access and specific directions to the property. We ask that you prioritize printing them out and know where you are going and how you will get in before you leave your home. GPS is not reliable in the rural communities.

Access: Guest shall allow Homeowner or employees of Homeowner access to the property for purposes of repairs and inspection. Homeowner shall exercise this right of access in a reasonable manner. Scheduled maintenance will be performed when home is not rented, except for lawn maintenance.

Housekeeping: There is no daily housekeeping service. While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. We suggest you bring beach towels for use at the local lakes and the Chattahoochee River. We do not permit towels or linens to be taken from the home.
When you arrive, the home will be clean and set up with linens and as a courtesy we have included the following list of supplies to accommodate the appropriate amount of guest:
*Bath towels, hand towels, wash clothes and paper towels
*Dishwasher soap, hand soap, toilet paper and bath soap (Paper products are a startup supply only and you may need to purchase additional depending on your length of stay)
As a courtesy and to make your travels a little easier, we have also included coffee products as well as some basic spices for cooking. Please feel free to use what you like, and leave the remainder for the next guest.

Hot tub: No children under the age of 12 should be in water over their body temperature. Anyone under 18 must have adult supervision. When using the hot tub, remember there is certain health risk associated with this facility. Use at your own risk. Our Spa Company will drain, sanitize, refill and replenish chemicals in all tubs prior to your arrival; therefore, it may not be warm until later that evening. (DO NOT STAND ON THE HOT TUB COVERS.) Hot tub covers are for insulation purposes and are not designed to support a person or persons. They will break and you will be charged for replacement (approximately $500.00). Remember, when not using the hot tub, leave cover on so hot tub will stay warm. Temperature should never be greater than 103 degrees. The hot tub is in working order during cleaning. If, for some reason, it goes out during your stay, we will make every attempt to repair and make usable. If this is not possible, there is no compensation paid for hot tub failure.

CANCELLATIONS: All Cancellation policies are outlined in the site that you are using to reserve this property. Please make yourself familiar with them and plan accordingly. When booking directly with Georgia Vacation Rentals, the cancellation policy is 30 days. With 30 days or more, you will receive a full refund. Fifteen days to 30 days, you will receive half of the rental amount, plus cleaning fee as well as property damage fee, 15 days or less, you will not be eligible for a refund.
ALL CANCELLATIONS WILL INCUR A $50 CANCELLATION/ADMINSTRATIVE FEE
Insurance: We encourage all renters to purchase traveler’s insurance. We have a strict cancellation policy. Whether you are or are not anticipating any issues to arise, this coverage is very affordable and may reimburse you for rental payments that you will not receive a refund for. We do offer Travelers Insurance which you can purchase through our site or through the site you use when making the reservation. This only covers emergencies or extenuation circumstance. Please make yourself aware of the restrictions.

DAMAGES: Deposits and Property Damage fees are set based on the site you are using. Excessive damages will result in Criminal Charges being filed.
Smoking: is permitted on the deck area only. We have provided a receptacle for cigarette butts and ask that they not be thrown out into the yard. Upon leaving the property, please remove cigarette butts and place in your trash bag to be taken to the dumpster.
SEPTIC SYSTEM: Please remember that anything that goes down the drain goes right into the ground and is absorbed by the environment. DO NOT USE LIQUID PLUMBER OR THESE TYPE PRODUCTS. DO NOT FLUSH anything other than toilet paper. No feminine products should be flushed at any time.

Pest Control: The cabins are treated every other month. You are visiting a cabin/home in the woods, so you may see the occasional spider or scorpion that is common in this area. This does not indicate dirtiness, or a property not maintained, it simply means that we are in their habitat and they can get inside sometimes.

CHECKOUT PROCEDURES: Prior to checkout, all dishes should be placed in dishwasher and dishwasher should be started so the dishes are clean when cleaners arrive. If there is no dishwasher, all dishes should be washed and placed back into the cabinets. Beds, which have been used, should be left unmade and sheets and pillowcases left on. Towels should be placed in the tub and not left on the hardwood floors. Before leaving, set the thermostat to 55 degrees in the cooler months and 70 in the warmer months. Make sure all doors and windows are shut and locked.

MILITARY DISCOUNT REQUIREMENTS: A rental rate reduction of 10% is proudly given to all active and reserve U.S. Military Personnel, honorably discharged Veterans and spouses of active-duty personnel who are registering as guests. *To qualify you must furnish a copy your Military ID (if active, reservist, or spouse) or DD-214 (if a veteran). Spouses of active Military personnel must provide their military spouse ID. Dependents are not eligible. Discount cannot be made after reservations have been made. Offer subject to change and cannot be combined with any other promotions. Military personnel, veterans, or spouses travelling with the registering party do not qualify. Other restrictions may apply. Thank you for your service to our Country.
We will not be liable or responsible for personal items left behind, lost, or stolen. Should you leave an item behind and we are responsible for returning it to you, there will be a $25 charge for handling this matter.

ADDITIONAL TERMS & PHOTO IDENTIFICATION
You must meet the minimum age requirement for this home as outlined on the Addendum and provide photo identification with reservation. This is for your protection against fraud.
The home has a maximum occupancy as outlined on the Addendum. Renters who exceed the occupancy limit and falsify occupancy information at the time of reservation are subject to eviction. House parties are strictly prohibited and grounds for immediate eviction. Illegal substances are strictly prohibited and grounds for immediate eviction.
There is an abundance of wildlife in the area. Guests are to respect nature and take care to guard themselves and their guests as appropriate.
If a personal check is returned to us for non-sufficient funds, you will be charged the amount levied by the bank for NSF charges.
Any exceptions to the rules and regulations as written here, must be approved in writing in advance.
Rates, terms, and conditions are subject to change without notice.
Weather: No refunds will be given for storms if we can guarantee you clear and safe passage up the driveway. Mountain roads can be curvy and steep. This home is located up a steep drive. Caution should be used during any potential ice or snowstorms. Force Majeure. There may be circumstances beyond our control and contemplations, in which the property might not be available for your booking. Examples of these include (but are not limited to) destruction of or sever damage to the property. In the event of Force Majeure, we will do our best to make alternative arrangements for you where possible. If we cannot, or if the alternative arrangements are not acceptable to you, then we will refund all monies paid. This will be the full extent of our liability to you in such circumstances, and we will not be responsible for any other costs connected with any such cancellation, howsoever arising.

I HAVE READ AND UNDERSTAND THE RULES AND REGULATIONS. I CERTIFY THAT I MEET THE MINIMUM AGE REQUIRED AND THAT I WILL BE HELD RESPONSIBLE FOR THE CARE OF THIS PROPERTY BEING RENTED UNDER MY NAME. I ACCEPT FULL RESPONSIBILITY FOR DAMAGES OR EXTRA CLEANING CHARGES, SHOULD THEY BE DISCOVERED DURING OR AFTER DEPARTMENT. I AGREE TO PAY FOR DAMAGED ITEMS NOT COVERED BY THE PROPERTY DAMAGE INSURANCE.
